ZOOM and Stream: a quick guide

Recordings created in Zoom can be shared with a link – but you should know that they are deleted after 28 days! This can impact your students as they prepare for exams. Fortunately there is a simple solution:

The basic workflow is easy as 1, 2, 3

The solution is to 1) download the video from Zoom, 2) upload the video to Microsoft Stream, and 3) place a link to the video on Reggienet.

Downloading from ZOOM

Begin by setting options in your Zoom dashboard. You can access the dashboard by signing in to illinoisstate.zoom.us, and go to ‘Settings’ and ‘Recording’. The most important recording settings are shown here [view image]:

  • Record active speaker with shared screen
  • Record gallery view with shared screen
  • Save chat messages from the meeting / webinar (optional)
  • Add a timestamp to the recording
  • Record thumbnails when sharing (optional)
  • Optimize the recording for 3d party video editor (crucial)
  • Audio transcript (crucial)

“Optimize the recording for 3d party video editor” means it can be downloaded as an mp4 file that will work on almost any platform, including Microsoft Stream. Once the video has rendered, just download it to your computer.

Uploading to Microsoft Stream

Open Office365 on the web by signing into my.illinoisstate.edu or office365.illinoisstate.edu. Notice the dots menu at upper left: Office365 menu click on it and find Microsoft Stream: Microsoft Stream icon

Upload the .mp4 file to Microsoft Stream and edit the file details. Here are some settings to get you started [view image]:

  • A descriptive Name
  • Brief description
  • Language for the automatic closed captioning
  • Choose a thumbnail
  • Share to ‘my groups’ and choose the group for your class
  • Comments on or off, your choice
  • Autogenerate captions (this is a super-cool feature!)
  • Click the ‘Publish’ button
  • Click on the Share button and Copy the ‘Direct link to video’ for Reggienet.

That’s it! You can go ahead and put the link to the video on Reggienet without waiting for the video to finish rendering.

NOTE: Advise your students to sign in to Office365 before clicking on the video link in Reggienet. They can access Office365 through my.ilstu.edu.
